Tasks: from today’s work to repeatable routines

The Tasks workspace brings company and project work into one permission-aware system. Plan by date, move work through the board, release suitable tasks for team help, and retain completed work in Archive.

One task system, two board types

It gathers unfinished WorkPulse tasks assigned to you from every board you can access. It is not a private Google Tasks list and it does not create duplicate tasks.

Choose the right view

My Day

Your open tasks grouped as Overdue, Today, Tomorrow, Later and No date. Use the quick status actions to start or finish work.

Team Day / Help Team

Open work due by tomorrow. Managers can review the team; other users can see eligible work released for help.

Board

The selected Company or Project board across To Do, In Progress and Done. With suitable permission, clear the filters to drag cards into their new order or status.

Archive

Searchable completed history for the selected board. Restore an archived task when it needs to return to the board.

Search and filters can narrow tasks by words in the title, notes, topic or category, as well as due period, category and permitted assignee.

Create a useful task

  1. Choose Company Tasks or an active project board.
  2. Select Add task and enter a clear title.
  3. Add the responsible person, due date and priority so the task appears in the correct daily view.
  4. Use notes, topic, hour estimates and attachments when they make the expected result clearer. Templates can add reusable checklists and guide links for structured work.
  5. Select a category from the company’s category list, or leave it uncategorised.
Categories are managed records.

WorkPulse does not install fixed categories such as EPOS, Finances, Hardware or Legal. An authorised user creates the list that suits the company, and each task stores the selected category by ID so renaming it stays consistent.

Share work through Team Help

  1. The assigned person requests help on an open task that has a due date.
  2. Eligible overdue, Today or Tomorrow work appears in the help queue.
  3. A permitted colleague can claim it. Users without the wider Assign Tasks permission must first finish their own overdue and Today work.
  4. Claiming transfers current responsibility, clears the help request and records the assignment change. The original assignee remains in the task history.

A manager with Assign Tasks can reassign an open task directly. Project tasks can only be assigned to a current member of that project’s team.

Complete, archive or delete

Completed, with the completion time and person recorded.

  • Done removes the task from daily work views but keeps it on the board.
  • Archive is available for completed tasks. It hides the card from the active board without losing its record.
  • Restore returns archived work to its previous status column.
  • Delete is permanent and is deliberately separate from Archive. Open guided work must be completed or resolved first.

Recurring tasks create separate occurrences

A recurring task is not moved back to the beginning.

Each occurrence is a separate To Do task with its own due date, completion record, fresh checklist and zero spent hours. Earlier occurrences remain available for audit and Archive.

  • Choose daily, weekdays, weekly, monthly or yearly timing, an interval, timezone and optional end date.
  • Fixed schedule follows calendar dates. After completion calculates the next date from completion of the current occurrence.
  • Create the next occurrence when the current one is completed, or choose the scheduled-occurrence option when every calendar occurrence must be recorded.
  • Pause or end a recurrence without deleting tasks already created from it.

Templates and Guided Work

These tabs appear when the advanced task workflow is enabled for the workspace.

Templates

Save an ordered set of task items, relative due dates, checklists, assignments, guide links and optional recurrence settings. Running a template creates new live tasks and keeps a snapshot of what was used.

Guided Work

Work through a task step by step, record progress and blockers, open procedure links, pause or resume, and hand the session to another permitted worker. Finish the session and, when explicitly chosen and permitted, complete the task at the same time.

A task with an active or paused guided session cannot be independently completed or deleted. Resolve the session first so its work record remains consistent.

The company also needs the Task Management plan feature. Tasks in an inactive project remain view only.

The same records across supported clients

The web workspace, supported WorkPulse desktop clients and the white-label task API use the same tenant task records and permission rules. A status, assignment or archive change made through one supported client is reflected in the others. Company tasks use company scope without a project; project tasks always retain their project.

Confirm the selected company, the Task Management feature, your task permission, the project’s active status and your access to its team. These checks explain most missing-board or read-only cases.
